Summary: This page explains the actions available on File Version Record Pages. While many actions are the same as on File Record Pages, they apply only to the selected version and include version-specific actions such as Publish and Set Current Version.

File Version Record Pages support many of the same actions as File Record Pages. The main difference is that these actions apply only to the selected file version.

Actions

Download

Downloads the selected file version, not the current version of the file.

This is useful when you need an earlier or specific version of a document.

Edit

Allows you to edit version-related details where permitted.

This behaves the same way as editing file details, but applies only to the selected version.

Change Owner

Changes the owner of the selected file version.

Ownership of other versions and the file itself is not affected.

Sharing

Shares the selected file version with other users.

Sharing follows the same Salesforce security model as file sharing.

Sharing Hierarchy

Shows who has access to the selected file version and why they have access.

This is useful for verifying version-level visibility.

Delete

Deletes only the selected file version.

Other versions of the file remain available unless the deleted version was the only version.

Publish

Sets the publication date for the selected version.

Publishing is commonly used to indicate that a version is finalized or ready for wider use.

Set Current Version

If the selected version is not the current version, the Set Current Version action is available.

Using this action:

  • Makes the selected version the current version of the file
  • Does not delete or modify other versions
  • Updates which version is shown as the latest version in most views

Important to know about version actions

  • Actions apply only to the selected version
  • File-level actions (such as deleting the entire file) are not available here
  • Permissions and availability of actions depend on your organization’s configuration
