What does working with Office 365 mean?

When working with Cartularius, supported Office files can be opened directly in Office for the Web. This means:

• Files open in a browser tab
• No local software installation is required
• Changes are saved automatically
• New file versions are created transparently

You continue working with documents as you would normally, but without managing downloads, uploads, or manual version control.

How do I edit a file in Office for the Web?

From a user perspective, editing a file works as follows:

1. Open a Salesforce record.
2. In the Files and Folders component, locate a Word, Excel, or PowerPoint file.
3. Click Edit in Office for the Web from the row actions.
4. The file opens in a new browser tab in full screen.
5. Start editing.

While the file is open, changes are saved regularly.

File locking during editing

When a file is opened for editing:

• The file is locked for editing
• A lock icon is shown next to the file name in the Files and Folders component
• Other users can see that the file is currently being edited
• It’s not possible to delete or move a file or folder containing a locked file

When you close the browser tab:

• Cartularius signals that the editing session has ended
• The file is automatically unlocked

This prevents conflicting changes while still supporting collaboration.

Co-authoring with colleagues

Cartularius supports real-time co-authoring.

Multiple users can:

• Open the same file at the same time
• Edit simultaneously in Office for the Web
• See each other’s changes in real time

This works the same way as co-authoring in standard Office 365, but fully integrated with Salesforce and Cartularius.

Version history is created automatically

Each editing session results in new file versions.

This means:

• Previous versions remain available
• You can review or retrieve older versions if needed
• No manual version management is required

From the user’s perspective, versioning happens automatically in the background.
