How can I export files and folders?

You can export files and folders from Cartularius to your device. Exporting lets you download multiple files or entire folder structures associated with a Salesforce record in a single action.

Where can I start an export?

You can start an export from the Files and Folders component on a Salesforce record.

• You can start from the root folder of the record
• Or from any subfolder
• Exports can include folders, subfolders, and files

Navigate to the folder that represents the scope of what you want to export before starting the export.

Starting an export

Exporting is started using the Export group action.

Steps

1. Open the Salesforce record that contains the files or folders.
2. In the Files and Folders component, navigate to the folder you want to export from.
3. (Optional) Select files or folders in the Files and Folders component.
4. Click Export.

This opens the Export dialog.

Tip: Any files or folders you selected before clicking Export are automatically preselected in the Export dialog.

The Export dialog allows you to review and adjust what will be exported.

Selection behavior

• Files can only be selected or deselected within the folder where the export was started
• Folders can be selected, including:
  • Subfolders
  • Related folders (explained later in this guide)
• You can freely adjust the selection before starting the export

This gives you full control over what is included in the export, even if you started from a broader folder.

Completing the export

Once you are satisfied with the selection:

1. Click Export in the Export dialog.
2. Cartularius starts collecting all selected files and folders.

At this point, the actual storage location of the files does not matter; Cartularius transparently gathers everything.

What happens during export?

During export, Cartularius:

• Collects all selected files and folders
• Recreates the selected folder hierarchy exactly as it appears in Salesforce
• Packages the export into one or more ZIP files

ZIP file behavior and size limits

• Each ZIP file has a maximum size of 2 GB
• If the export exceeds this size, multiple ZIP files are created
• Files larger than 1 GB are downloaded individually
  • These files are excluded from the ZIP files

This ensures reliable downloads, even for very large files.

Result

After the export completes:

• ZIP files contain a one-to-one copy of the selected folder structure
• Folder and subfolder hierarchy is preserved
• Large files are downloaded separately
• All exported content is available on your device

Important to know

• Export availability depends on your permissions
• Exported files include the current version of each file
• Very large exports may take some time to prepare
