When should I merge file versions?

Merging file versions is useful when:

  • Multiple files represent different versions of the same document
  • Duplicate files exist in the same folder
  • You want to clean up or consolidate file history
  • You want to reorder file versions within a single file

Starting the merge process

Steps

  1. Open the Salesforce record that contains the files.
  2. In the Files and Folders component, navigate to the folder that contains the files.
  3. Select one or more files.
  4. Click Merge Files in the toolbar.

This opens the Merge Files dialog.

Selecting the base file

In the Merge Files dialog, you must select a Base File.

  • The base file is the file that will be preserved after the merge.
  • All selected file versions are merged into this base file.
  • The base file keeps its identity, while the other files are merged into it as versions.

Choose the file that should represent the final, consolidated document.

Ordering file versions

Before completing the merge, you can control the order of the file versions.

Steps

  1. Select a file version in the list.
  2. Use the arrow buttons to move the version up or down.
  3. Arrange the versions in the desired order.

The order determines how the version history will appear after the merge.

Completing the merge

Once the base file is selected and the version order is correct:

  1. Click Merge.
  2. Confirm the action if prompted.

Cartularius performs the merge and updates the file history accordingly.

Result

After the merge:

  • All versions are stored under a single file
  • The base file remains as the main file
  • File version history is consolidated and ordered
  • Duplicate files are removed

Important to know

  • Merging files affects file history and cannot be easily undone
  • You must have permission to merge files
  • Only files in the same folder can be merged

Why is this useful?

  • Keeps folders clean and organized
  • Preserves important version history
  • Prevents confusion caused by duplicate files
  • Improves document consistency
